Collaborate with your team

Coordinate inbox work with assignments, internal notes, mentions, labels, presence, and inbox access.

Repliqo makes ownership and teammate activity visible inside each conversation so the team can hand work off without forwarding email or starting a separate chat.

Assign an owner

Use the conversation's assignee control to add or remove teammates. An unassigned conversation belongs to the queue; an assigned conversation has a clear owner while remaining visible to everyone with inbox access.

Use multiple assignees only when responsibility is genuinely shared. For sequential handoffs, replace the assignee and explain the handoff in an internal note.

Add internal notes

Internal notes are visible only to workspace teammates — they are never emailed to the contact.

  1. Open the internal-note composer.
  2. Write the context, decision, or question the team needs.
  3. Type @ to mention a teammate with access.
  4. Add attachments if needed and post the note.

Mentions create a Repliqo notification for the teammate. Use them for a specific request, not as a substitute for assigning the conversation.

Use labels consistently

Apply shared conversation labels for stable concepts your team searches, reports on, or uses in automations. Owners and admins manage the label set under Settings → Rules → Labels.

Avoid creating labels that duplicate temporary states such as Open or Snoozed; workflow status already represents those.

See who is viewing or replying

Conversation avatars show teammates who currently have the thread open. A replying indicator appears when another teammate opens the reply composer. If you begin replying at the same time, Repliqo warns about the collision.

The warning prevents accidental duplicate work but does not lock the thread. Coordinate with the other teammate before sending.

Hand off a conversation

  1. Add an internal note summarizing the state and next action.
  2. Mention the teammate if the handoff is time-sensitive.
  3. Change the assignee.
  4. Set the correct status or snooze time.
  5. Create a related task when the work extends beyond replying to email.

Success looks like

  • Active conversations have an intentional owner or are deliberately unassigned.
  • Internal context stays in notes rather than customer-facing replies.
  • Mentioned teammates receive a clear request.
  • Reply-collision warnings stop duplicate sends.

Common problems

  • A teammate is missing from the assignee or mention list: confirm they joined the workspace and have access to that inbox.
  • A member cannot open the conversation: an owner or admin must update inbox access under Settings → Team.
  • The other replier is no longer active: presence clears automatically after they leave or disconnect; refresh only if the indicator remains unexpectedly.
