Team roles and inbox access
Invite Repliqo teammates, choose owner, admin, or member permissions, and limit members to selected inboxes.
Workspace roles control administration. Inbox access separately controls which customer conversations a member can see and work.
Path: Settings → Team
Understand the roles
| Role | Typical access |
|---|---|
| Owner | Full workspace administration, billing, admins, members, inboxes, domains, connections, and automations |
| Admin | Workspace and mail administration, all inboxes, and member invitations; cannot grant ownership or invite another admin |
| Member | Daily work in all or selected inboxes; cannot connect mail, manage domains, or administer the workspace |
There is one workspace owner. Use admin sparingly because it grants access to all inboxes and most workspace configuration.
Invite a teammate
- Open Settings → Team.
- Select Invite member.
- Enter the teammate's email address.
- Choose Member or, if you are the owner, Admin.
- For a member, choose all inboxes or select specific inboxes.
- Send the invitation.
The invitation is tied to that email address. The recipient signs in or creates an account with it, then accepts from their profile.
Owners can invite admins and members. Admins can invite members. Members cannot invite teammates.
Change a member's inbox access
- Find the member under Settings → Team.
- Open Edit inbox access.
- Choose all inboxes or at least one selected inbox.
- Save the change.
Access changes take effect across the inbox list, search, contacts, tasks, notifications, and MCP connections bound to that user's permissions.
The owner always has workspace access. Admins have all-inbox access; selected-inbox restrictions apply to members.
Change a role or remove a member
The owner can promote a member to admin or return an admin to member. Owners and admins can remove members within their permission level. Review inbox access after changing a role, especially when an admin becomes a member.
Removing a teammate ends their workspace access but preserves shared conversation, note, task, and audit history.
Success looks like
- Admin access is limited to people who manage the workspace.
- Members see only the inboxes required for their work.
- Pending invitations use the correct email, role, and inbox access.
- Removed teammates no longer appear as active workspace members.
Common problems
- The invitation is not visible: confirm it was sent to the exact email used for the recipient's Repliqo account and check pending invitations.
- A member sees no inboxes: edit their inbox access and select at least one inbox.
- An admin option is unavailable: only the owner can invite or promote admins.
- A member cannot be mentioned or assigned: they must have access to that conversation's inbox.
